Enhancing Usability Across Key Patient Management Workflows

01. Problem
The client’s digital health platform was used by clinicians, care coordinators, and support staff to manage patient information. However, several core workflows were outdated, overly complex, and inconsistent across the product.
Key issues included:

A cumbersome process for adding new patients into the portal

Difficulty locating patients, insurance details, and medical information

Inefficient workflows for searching and reviewing patient conditions

Inconsistent UI patterns that contributed to user errors and slow task completion
​
These challenges led to increased support tickets, longer onboarding times, and frustration among clinical staff who needed fast, reliable access to patient data.
02. Process
1. Research & Understanding the System
I began by reviewing existing flows, interviewing internal stakeholders, and mapping out the steps involved in each high-priority workflow. This helped identify friction points such as redundant actions, unclear terminology, and screens overloaded with information.

2. Workflow Redesign & Information Architecture
I redesigned multiple end-to-end flows, including:

Patient intake and portal creation

Patient search and results filtering

Insurance lookup and verification

Condition search and review
The new IA clarified decision paths, reduced unnecessary steps, and made critical information more discoverable.

3. Wireframes & Interaction Patterns
I created low- to mid-fidelity wireframes to establish structure, interaction logic, and key components. These included improved search behaviors, modular card layouts, and a more intuitive use of tabs and filters for navigating high-density data.

4. High-Fidelity UI & Prototyping
Using Figma, I built high-fidelity screens and interactive prototypes that reflected a more modern, consistent, and accessible design language. These prototypes were used for team reviews, validation, and usability feedback.

5. Collaboration & Iteration
I worked closely with product managers and engineers, incorporating technical constraints and feedback to ensure feasibility. We iterated on edge cases, error states, and loading scenarios to support a smooth real-world experience.

03. Outcome
The redesigned workflows significantly improved the clarity and efficiency of the platform. Key results included:

Simplified patient intake, reducing the number of steps and making essential fields more intuitive

Faster and more accurate patient search, supported by clearer filtering and improved information hierarchy

Streamlined insurance and condition lookup, allowing staff to access critical details with fewer clicks

A more consistent and cohesive UI, reducing cognitive load and helping users feel more confident navigating the system​

Although metrics are confidential, internal teams reported fewer user errors, improved task completion speeds, and a noticeable reduction in frustration during daily use.
